Personal data we collect

We may process the following data from you:

First and last name;
Email address;
Phone number;
Trade name;
Business address;
VAT number;
Customer number, invoice number;
Curriculum vitae.

We collect and process personal data for the following purposes:

Newsletter

If you are a customer with us or if you have registered via our website, you will receive our newsletter by e-mail. We process your email address and optionally your name for this. You can unsubscribe at any time by clicking on the unsubscribe link in every email newsletter. We keep your data as long as you are registered.

Contact (Form)

When you contact us by email or the contact form on our website, we will use your details to respond to your message. Telephone contact is not documented other than for client relationship purposes, but we can ask you if we can return to your question later by email. After processing your question, we will delete this data. If you are a customer with us, we will keep the data for as long as is necessary to comply with the legal retention obligation.

Quotations, agreements and invoicing

In addition to the name and contact details of our contact persons, we only process company data from our customers. In the case of certain types of company (such as a sole proprietorship), these company data may contain personal data. Due to the legal obligation, we keep this data for 7 years.

Applications

When you apply for a job with us, we ask for your name, contact details (both telephone number and email address) and your resumé. You also have the option to send a motivation. We keep your data for a maximum of four weeks after the application procedure has ended.

How we use personal data

We only process your personal data when you give permission for this, when this is necessary to fulfill an agreement or when this is a legal obligation. We only request information that we need to achieve the intended purpose and we only use the information for that particular purpose.

Why and with whom we share personal data

We engage third parties in the performance of our services. We can share your data with the following parties:

Hosting of our website
WordPress
Marketing Automation software (including CRM system and email server)
Telephone and video conferencing service

We sometimes share large files (such as videos) with our customers via WeTransfer. We have made clear agreements with these parties so that your personal data remains protected and is only used for the intended purposes. These agreements are recorded in writing (in a processor agreement).

Transfer

We try to process personal data as much as possible within the EEA, but the data that we process in our Marketing Automation software is processed in a country outside the EEA. The receiving party has certified itself under the Privacy Shield.

Retention period and security of your data

We only keep your personal data for as long as we need it for the relevant purposes or as long as we need it to comply with the legal retention obligation.

We have taken appropriate technical and organizational measures to protect your personal data against loss or any form of unlawful processing.

Access and manage your personal data

You have various rights regarding the processing of your personal data by us. For example, you can request us to view, rectify and delete your data. You can also ask us to limit the processing, you can object to the processing of your data and you can request us to transfer the data. If we process the data on the basis of your consent (for example if you are not a customer of ours but you have registered for the newsletter), you can withdraw this consent at any time.
